The Facilities Associate will play a preliminary role in Shanghai Office for routine facilities tasks as well as supporting Shanghai team in country range of projects and activities. It gives you energy knowing that the similar every day however will still be different.

You will be the first point of contact for office suppliers, colleagues on the road, China colleagues and all further incoming calls. It is all about assisting and implementation, execution, supporting and coordinating all kinds of processes, people, goods, etc. Besides this you make sure that the office looks nice and clean. This in order to support the further growth of Sonos in Shanghai. 

  • All work related in reception.
  • Preliminary office admin support.
  • Assist in employee activities implementation.
  • Being a good representative when employees need a hand for office related matters or in help on a travel.
  • Besides Shanghai Office Manager, being 2nd point of contact in Shanghai, in case of emergencies during office hours and outside office hours.
  • Feeling responsible for the look and feel of the Office.
  • Work with landlord for work request as well as repair task.

What You’ll Do
  • Ensure Office safety & security.
  • Reception - visitors receiving, telephone operator, send and receive courier, food/working lunch box ordering per meeting request.
  • Maintain and monitor office rooms, equipment and facilities are in good condition.
  • Office supplies ordering - stationery, business card, pantry foods & drinks, subscriptions and green plants as well as First-aid kit.
  • Monthly inventory check, and payment & reimbursement.
  • Assist in inspecting cleaning job.
  • New staff onboarding preparation – entrance access card, stationery & business card, travel coordination for New Employee Orientation (NEO) training.
  • Act as back up for guiding new staff on their Day 1 – Office tour, office rules introduction and related office knowledge sharing.
  • Maintain Office demo products & facilities.
  • Regular employee activities arrangement (Friday Lunch, Badminton Club) as well as coordinate for China overall activities when there’s a need and plan.
  • Assist Shanghai team in All Hands meetings.
  • Travel coordination – Shanghai local staff and international travelers to Shanghai. Backup for China in terms of team peers on PTO or travel.
  • Taxi or vehicle booking
Skills You’ll Need
  • Service & result oriented and honest.
  • Sparkling personality that naturally connects with people.
  • Humor!
  • Independent but understanding the power of “working together”.
  • Ability to learn.
  • Has potential to prioritize and work according to it.
  • Hands-on mentality. Not affright to roll up the sleeves. Non-bureaucratic.
  • Well-organized, proactive, self-starting and feeling Responsible & taking ownership.
  • Sense of follow-up and feedback
  • Good in Chinese Mandarin and English (also writing)
  • 3+ years’ experience as receptionist in a dynamic organization.  
  • Good Outlook, Word, Excel skills
